Eric’s Big List Of SharePoint Links

NOTE:
Due to data loss with OfficeZealot’s blog server, all comments posted between April 28 and June 8 , 2005 to any of my blog entries were inadvertently deleted.  The end of this blog entry contains the text of the comments applicable to this posting that I was able to recover.

I am an unabashed pack rat and organizer.  These traits come in very handy when you work with computers and software, because you need those skills to manage the phenomenal amount of information at our disposal.  Coupled with some pugnacious researching, I’ve managed to accumulate a fairly large repository of URLs to valuable SharePoint resources.

So, inspired by similar lists (Lamont Harrington’s SharePoint 2003 Overview and Eli’s SharePoint Resources), here are mine.  You can also download the zipped .htm file for importing into IE.

Note: this list was built from an IE export; links at the root folder level are listed last after any sub-folders, so sometimes the parent folder might be misleading.  Also, I’m not going to bother fixing some of the other oddities from my paste job, like the crazy italics because of indented sections…

Masood: What exactly do you mean by "can’t manage such group"? Do you not have permissions to modify the security settings for those sites? Adding domain groups is just a matter of adding DOMAINGROUPNAME as a member.

Masood: If you bundle these users into one AD group, you have to add that group into the appropriate site role for EACH site that you want to grant that group membership to. There’s no group other than SPS Administrators that has blanket access to all WSS sites.

I have a question. We recently went to Sharepoint for our intranet. I am trying to figure out a way to use a page as a template within a workspace. If I open the site in frontpage and open a page and save it with a different name, it adds the page to the workspace, but all the web parts mirror the orriginal ones. When I add information to one page, all the pages that were created from the orriginal update to have the same information. I want them each to be unique, but have the same layout. Can you help me out?”

“Joseph: I think what you want to do is create a Web Part Page (from the list in the Create page). You can specify the layout for the page from the predefined layouts that the wizard offers, and then add the web parts you need. This page is oddly enough stored as a file in the Document Library you specify.

To add a link to your site links bar along the top (Home – Documents and Lists – Create, etc.), you have to edit that bar with Front Page 2003 to point to the web part page file in the Document Library you saved it to.

Another approach is to use the Dynamic Web Templates feature in Front Page. You can lock down certain regions to prevent editing in any pages created from these DWT, and the pages are saved as regular .html files that don’t need to be saved in a Document Library. However, these pages are different from Web Part Pages as they don’t give you the Web Part Zones, but you can add web parts to the page (then they become .aspx pages).”

I am trying to get the roles for an user who is accessing Sharepoint using the SPS Object Model.

When the user is added as a member of the site explicitly, I am able to get his roles using CurrentUser.Roles.

When the user is added to a group and the group is added to the site without the user being added to, CurrentUser.Roles returns nothing.

Can you kindly get this query sent to the concerned @ Microsoft.

Masood: When you are in the Site Settings page, and you click on “Go to Site Administration”, what is the title of that page? If it *doesn’t* say “Top-level Site Administration”, then you are in a sub site; galleries and site collections are managed from the top-level site only.

Ramin: I don’t think you can change the text on that menu. However, the section “Customizing by Embedding Code” in the link below says:

“When you execute the constructor on the server, you can insert your own text into the page menu.”

Whether this allows you to change the “Modify Shared Page” text or entries underneath it, I’m not sure.

However, if you want a different language displayed, shouldn’t you be installing the appropriate international version of SharePoint?

I am new wih share point and trying to figure out ways to customise it. I have founf ways to create a custom webaprt by creating a .wdp file using web part library in visual studio. I also have found how you can add .ascx files, or user controls, by using a smartpart, with out having to create a .dwp file. What I really want to do is be able to take my .aspx files from visual studio and put them in sharepoint. so i can run them from their and only there. getting them there would be a great help for now f anyone can help. Like i dont even necessarilly want a webpart just a way to display the .aspx file.

Oops, I need to clarify this. Every instance of the account name appearing on the site, I should replace with email address. You see, account names being used are employee IDs and they don’t want those displayed.

You can use the Profile Editor to change how Active Directory fields are mapped, but I don’t think you can ever prevent hiding the account name. This is usually not visible I believe, but anybody who has rights to manage security on a site will be able to see it.

The bigger issue is why did the person in charge of your network use sensitive information for the account names? Good software can’t compensate for bad planning!

David: If I understand you correctly, you cannot prevent people from using any web parts that have been added to a virtual server web part gallery. You can, however, prevent them from modifying the web parts on a shared web part page by excluding them from the Web Designer role. You can also limit the web parts that are used for a particular site by deleting web parts from that site’s web part gallery:

I have created a custom list in sharepoint and have attempted to establish a calculated column. The calculated field needs to search another drop-down field [Vehicle], in the same list and depending on the selection will return a unique text (i.e. dodge, chevy, ford, etc.) to display in this “calculated” field. The following formula will work but can only support 6 arguments and I need it to work with at least 7. Any suggestions? Thank you.

By column is the user’s Email and not his Display Name.

Ralph: First, sorry for being late, I just realized mail forwarding for the comments posted on my blog was broken and am just now replying to them. Second, any kind of file can be stored in a Document Library – it doesn’t have to be an Office document. As long as the user has the software to open the file type, it works as you’d expect.

Ajeya: Lookup columns already exist as one of the data types when you are creating a new field in a library or list. This is strictly for lookups though; you can’t have values from one field updating values in another field or any kind of referential integrity.

I am working with document library views. I would like to have a single view to return documents across all folders, so I have enabled this option. Tim: sorry, I don’t know of any way to do that. It may be possible using the Data View Web Part from FrontPage, calling one of the Web Services. But you’ll just have a list, and not the full functionality of a Document Library main page.

# Why do I get this error?

I get the error “None of the users can be added…” when I add an AD group as a user. Actually I added 2 groups: one was successfuland this one group failed. I used the browse feature so it couldn’t be due to wrong spelling. The only reason I can think of is that this group has another AD group in it?

Is there a way to change the upload multiple files link when adding a picture to a picture library? I want to change the background of the link so it just shows the link words, not the square box around the link. The css element .ms-toolbar changes this, however, it also changes the toolbar at the top of the picture library. Is there a way to just change the upload multiple files link?

Pat: If you have SQL Server installed as your database repository for SharePoint (instead of the free MSDE database), you can use SQL Enterprise Manager to view the SharePoint tables. However, Microsoft does not support any modifications to the database.

# Visual Studio 2005 compatibility with WSS 2.0

Eric,

We are using wss 2.0. We have several registered web parts written in VS 2003 for this server as well as some procedural code written in VS 2003. This custom code references the sharepoint api. As a developer, I have several upcoming projects that should be writtin in the new VS 2005, but I am concerned about supporting the WSS 2.0 envionrment that has the 1.1 framework on it. Do you have any suggestions, links or feedback about this topic? Can the WSS 2.0 environment have the 2.0 framework installed? Can custom code and web parts written in VS 2003 for the sharepoint environment be upgraded and supported by VS 2005? Thanks – Tim

# Problem to edit document

When I try to edit word documents from my SharePoint server word starts but no document is opened.

On other computers this works fine.
I have Office 2003 installed on my computer, and I can open that same document if I choose to open it from word directly.
So the problem is only when trying to edit from the SharePoint webpage.
I do have the same problem with excel but it works fine for PDF files.

Are there some security options that I have wrong in my computer?

Tomas: I think this has to do with the File Type options for Office documents. Go to the File Types tab in the Folder Options dialog from Tools -> Folder Options in any Windows Explorer window, select the file type, click Advanced and clear the ‘Browse in same window’ option for the ‘Edit’ (and maybe ‘Open’ or ‘Open as Read-Only’ as well) action.

Hi Prem. Do you mean customize the links that appear in the Actions pane when on the main page for a List (the one that shows ‘Add to My Links’, ‘Alert Me’, etc.)?

I’m fairly certain that you can’t customize that control, but you can remove it completely and put in your own dynamic list of links. This would be very involved and I’m not sure how to go about it, to tell you the truth. You may get some ideas from this blog:

Eric:

Can you point me towards any documentation that discusses how you can secure the Virtual Server Gallery. I’d prefer it that if someone hasn’t been designated a Web Designer or Administrator that they not even know this exists. If that’s not possible just a way to restrict what web parts show up would be huge.

Also can you point me towards any documentation that shows how to customize the list of web parts showing up in everyone’s My Site page? We want out users to be able to add a select few web parts to their pages but by no means see the whole list that is available.

Matthew: You can only control what Web Parts get installed on which server. Generally, if you have the “Add and Customize Pages” right, you can add web parts from any of the Galleries. If you have the “Add/Remove Private Web Parts” right you can customize your personal view of a page. You cannot AFAIK hide any of the Galleries, and you definitely can’t control on a web part by web part basis which is hidden or not. They’re either installed or not.

Hi Eric,
I actually looking for solutionto hide URL “Add News” in the document session in Sharepoint 2003. Actually, the current behavior to show the “Add News” link even to anonymous user. However, when the user submit new document, the system will ask them to login with correct identity otherwise new item can’t be added.

From a user point of view, my user doesn’t want to see it when they don’t have proper permission. I don’t know if there is any configuration steps that could disable this?

Ly: IMHO, don’t waste any time trying to do security trimming in SPS 2003, as there is nothing “out of the box” to hide links/actions from users which they do not have permission to see/use. It’s very difficult to do and adds a lot of overhead even if it is done correctly. Mitigate user curiousity through training as much as possible.

I have a sharepoint custom list on http://SiteA.
Sample list:
Standard Name Standard Desc

SW Backup Free Text Multi Line

On http://SiteB I have to create a survey where the data from the SiteA needs to be included.

My survey is supposed to look like:

StandardName|Standard Desc | Q1 | Q2
—————————————-
SW Backup |FreeTextMultiLine | A1 | A2
ISO 9000 |Desc goes here | A3 | A4

The questions are about 150 chars long, the answers are mostly multiple choices with radio buttons

1. Can I import the custom list data to the Sharepoint Survey? If yes, how?
The look up only allows same site.
2. Can a sharepoint Survey be formatted as described above? I have played a little with the sharepoint survey but I have not found a way to format it as a matrix above.

Pardon me, I am a newbie to Sharepoint so I am probably asking stupid questions.

1. No, you cannot import list data into a Survey. You can add fields in the survey to lookup information in fields from other lists or libraries from within the same site only.
2. No, you cannot change the formatting of the survey questions as they are displayed to the user. You can only specify the survey question text and data types for the answers.

# Five questions

1. What is Sharepoint Team Services? I have an idea of what WSS and SPS are and have seen a comparison of their features. But I am clueless when it comes to Sharepoint Team Services.
2. Given a Sharepoint web site, is there a way for me to detect whether it’s WSS, SPS or STS? I have been using the Quick Launch on the left pane to make the distinction but am not sure if it is correct.
3. On a Sharepoint Survey, I have 2 dropdowns for choices: a products dropdown and a services dropdown.
I would like to implement the XOR (one or the other but not both) so that the user who selects a product won’t and can’t select a service and vice versa. Is there a code snippet for this type of logic?
4. I would like to better format the survey description ( ie HTML-based for font weight, font size, font color, spacing, hyperlinks etc… instead of plain text) because I am using as an introduction to the survey.
Can I customize it with FrontPage or Visual Studio so that it is changed for just one specific survey?
5. If #4 cannot be done easily, I would like to create a BASIC page to put the introduction and the link to the survey.
is the Basic page HTML-based or mere plain text?

Sue:
1. STS is the original WSS from back in 1999-2000. It preceded SharePoint Portal Server 2001 and was not quite ready for prime time.
2. WSS sites are usually prefixed by http://servername/sites. Portal pages are visually distinct and are usually the Home, Topics, News or Sites main pages as per the horizontal tabs; URL for these pages are http://servername/pagename.
3. Can’t do it.
4. Rich text in List/Library descriptions are not supported. You’ll have to customize the main Survey page with Front Page 2003, or add the Survey List as a web part on the main page and put a Content Editor Web Part above it with your description.
5. You an do this by creating a Web Part Page.

First of all, many thanks to Eric for having this active blog.
It has been very helpful, especially to novices like me.
I am working on WSS surveys and am customizing it. The font color on the questions is too light so I have been able to do a css style override of ms-formlabel in newform.aspx.
I can’t figure out how to override the font-size of the possible answers in dropdownlists, radio buttons?
I was looking by viewing the source for a tag name such as ms-formxxxx but can’t seem to figure it out.
Any pointers will be greatly appreciated.

I cannot change/edit the Cascading Style Sheet that supplies SharePoint with its
look and feel: SPS.CSS and OWS.CSS.
My company hosting environment does not allow modifications to anything out of the box. I can only make changes in my local files. Thanks

I hard coded the questions with question numbers. As a consequence, now the graphical summary has ‘double’ question numbers (one from WSS and one from my hard coded value ). For example: 2. 2. Hub Name
The idea of having question numbers is to help the users locate the ‘offending’ question when they omit to fill in a required answer. But now the survey graphical summary looks funny.
Any suggestions/ideas will be appreciated.

# How to set status based on dates

I have a custom list that displays the names of the available surveys. Each survey has a start and end date. I also have a status column(open, closed, unavailable) and would like to make it a calculated value based on the value of the start and end dates.
For example: If start date > today’s date, set to Unavail.
If today’s date > end date, set to Closed.
If start date <= today’s and end date >= today’s, set to Open.

We are using SPS2003 and trying to integrate some workflow for the Sharepoint events. Is there any alternate ways to capture events from Custom Lists and Event Lists as we do in Document libraries? I understand that these are implemented in 2007 version, but the need is for 2003.

# Lookup column doesn’t allow all columns from lookup table

I have two Lists. One that captures Help Desk requests and another that contains links to a Visio diagram. The diagram shows the user what step of the Help Desk process their reqeust is in. I want my lookup column to select the ‘Ticket Status’ hyperlink column from the links list BUT it doesn’t present this column as an option from the Get Inforamtion from pull down menu. I only have the choice of Content Type, ID etc. How do I get this to be available as a choice?

Hi Eric,

I have three queries

1) I have a document library in which a user(contributor) should not be able to delete or Edit documents uploaded by other users (considering both the users have contributor permissions) and the same user should be able to delete or edit documents uploaded by him

2) When ever a document is opened from document library it asks for user name and password (though the user is in the network and has administrator rights)

3) Remove the My Settings Link from the “welcome Username” tab on the top of the page
